Estimating software for renovation contractors
Most construction estimating software is built for one of two companies, and neither of them is yours. Either it is takeoff software that measures quantities off drawings — which assumes drawings exist — or it is an enterprise platform priced for a company with a full-time estimator on staff.
Renovation work is neither. You quote from a site visit, not a plan set. The estimate gets built by whoever owns the company, usually after supper. And the cost of getting it wrong lands on the same person.
What a small crew actually needs
Five things, and most tools deliver two of them.
- Estimates built from a site visit, not from drawings you do not have
- Pricing from a rate card you control, so quotes come out the same whoever writes them
- The estimate feeding the job — it should become the budget, not get retyped into a spreadsheet
- Change orders attached to the original scope, so extras get billed instead of absorbed
- A price that does not grow with your crew, because hiring should not cost you a subscription tier
Why takeoff software doesn't fit renovation work
Takeoff tools are good at what they do. You load a drawing, trace the areas, and get quantities out. For new builds and commercial work with a full plan set, that is exactly right.
On a renovation there is usually no drawing. There is a bathroom, a homeowner, and twenty minutes on site. The slow part is not measuring — it is knowing that a tub-to-shower conversion means waterproofing, a curb, a niche, a fan upgrade, a threshold and eleven other lines, then pricing all of them without missing three.
That is scope construction. It is a different problem from measurement, and it is the one that eats your evenings.
The Canadian problem
Nearly every established platform in this category is American. That shows up in three places, and only one of them is obvious.
- Your subscription is in USD, so the bill moves every month and your card adds a conversion spread on top
- Tax is bolted on. HST is not sales tax with a different rate — collected and paid work differently, and a system built around US sales tax handles it as an afterthought
- Support runs on their hours, and their idea of a busy season is not February in Ontario
Contrax is built in Oshawa, Ontario, by a contractor running a renovation company here. It prices in CAD. HST collected and paid is tracked as you go and reported by quarter in the shape the return actually asks for.
What estimating software should cost
| Typical | Contrax | |
|---|---|---|
| Dedicated takeoff tools | $100–$400 per user / month | — |
| Full construction platforms | $400–$1,100+ / month | — |
| Contrax | — | $150 CAD / month |
| Per additional crew member | Usually charged | $0 |
| Onboarding fee | Common | None |
| What is included | Estimating, often alone | Everything |
The per-user model is the one to watch. It is affordable at two people and quietly punishing at ten, which is exactly when you can least afford a surprise.
What Contrax does
Estimates from a walkthrough video. Record the space on your phone, talking as you go, and get a priced line-by-line scope back in minutes. It is a draft you review, not a quote to send blind. How that works →
Your rate card, once. Labour by task, materials, markup rules. Set it and every future estimate follows, so quotes are consistent whoever builds them.
Two versions of every estimate. An internal one showing labour and material split, markup and profit per line; a client-facing one with the cost structure removed and the scope detail kept. Why both matter →
The estimate becomes the job. Accept it and it turns into a live project carrying its budget, so clocked hours and receipts post against the number you quoted while the work is still open.
And the rest of the business. CRM, scheduling, crew clock-ins, change orders, invoicing, a client portal and HST-ready books — one system, nothing entered twice.
Every module, unlimited crew and jobs, AI included. Seven days free, no credit card.
